Documents are essentially one of the major requirements of the Delhi School Admissions. These documents; originals, certificates & affidavits form the basis of proving your identity. The school has the rights to reject an application basis the authenticity of an admission document. So all the parents out here, please make sure that all your documents are up to date, have matching details and most importantly are authentic. Here is a list of all the documents required (General/EWS/DG Category) for Delhi School Admissions followed by some frequently asked questions.

Q1) What all documents are required during registration?

A1) General Category:

The below is an exhaustive list of all the documents required during Delhi School Admissions which are mandatory as per the DOE (Directorate of Education), although a lot of private unaided schools demand some additional documents as well. The applicants are required to submit a self-attested copy of all the documents at the time of registration & need to produce the original documents if they are selected for the admissions.

Mandatory Documents:

1. Birth Certificate: Issued by the Municipal Corporation or an equivalent authority (Name of the child along with other relevant information such as DOB, Parents name etc. must be endorsed on the certificate and it should be duly signed by the Registrar of Birth). 2. Proof of Residential Address: Any of the following:

  • Ration Card/Smart Card Issued in the name of parents (Mother/Father having the name of child).
  • Domicile certificate of child or of his/her parents.
  • Voter I-Card (EPIC) of any of the parents.
  • Electricity bill/MTNL telephone bill/Water bill/Passport in the name of any of the parents or child.
  • Aadhaar Card/Ulfr card (Front & Back) issued in the name of any of the parents.

Non Mandatory Documents:

1. Letter of the Parish Priest/ Pastor: For Christians/Catholic

2. Baptism Certificate/ Dedication Certificate: For Christians/Catholic

4. Affidavit of ‘Single Parent’ along with Death Certificate/Divorce Certificate.

5. Affidavit of ‘Girl Child’.

6. Sibling’s ID Card, Fee Receipt, Report Card etc. : For Siblings studying in the same school.

7. Parent’s Mark sheet of class XII/Passing Certificate: For alumnus parent

10. Transfer cases, one needs to produce Proof of Transfer to Delhi Certificate/ Transfer Order and joining report stating the date of transfer and joining.

11. Staff’s latest ID Card in case the applicant is the staff’s ward.

12. Parents who are national awardee have to produce the National Certificate.

13. Affidavit for inter-community/inter-cast marriage.

EWS/DG Category:

Unlike the general category applicants, the process for EWS/DG category is completely centralized by the govt & registrations can be made on edudel.nic.in. The parents of the applicants need to produce the following original documents only if their child’s name comes up in the Draw of lots. The parents applying manually by visiting schools physically need to attach the self-attested photocopies of these documents at the time of registrations:

1. Proof of Date of Birth (Any one of the below):

  • Anganwadi Record.
  • The birth certificate under the Birth, Death, and Marriage Certificate Act. 1969.
  • Declaration of the age of the child by the parents or guardian.
  • Hospital/Auxiliary Nurse and Midwife (ANM) register record.

2. Proof of Present Residential Address (Any one of the below):

  • Ration card in the name of Parents along with the name of the child on it.
  • Domicile certificate of the child or his/her parents.
  • Voter ID card of any of the parents.
  • Utility bill such as Electricity/ Landline/ Water bill etc.
  • Unique Identity Card (Aadhaar card) of either of the parents or the child as issued by the Govt. of India.
  • Passport in the name of any of the parents or child.
  • In the case of a rented accommodation, an affidavit on stamp paper should be submitted along with any valid photo identity for e.g. Aadhar Card, Passport, Voter ID etc.

Note: Please note that the address on the address proof and that in your admission form must match else the schools has the rights to reject your application.

3.Income Proof  For EWS Category(Any one of the below):

  • Income certificate issued from the Revenue Officer above or equivalent the rank of Tehsildar.
  • Below Poverty Line Ration card (BPL – Yellow Colored).
  • Antyodaya Anna Yojana Ration Card (AAY – Pink Colored)
  • Food Security Cards issued by Dept. of Food and Civil Supplies and Consumer Affairs, GNCT of Delhi.

4. Proof of Disadvantage Group (DG):

  • A Certificate issued by a Revenue Officer above or equivalent the rank of Tehsildar or any other Competent Authority.
  • Caste Certificate issued by Revenue Department GNCT Delhi from the DC’s Office in respect of Non-Creamy Layer status (SC/ST/OBC) of the parents.
  • Medical Certificate issued by Government Hospital declaring the child with Special Needs/ physically challenged/ transgender.
  • In case of an Orphan Child, a Certificate issued in accordance with the instruction issued by the Department of Women and Child Development, GNCT of Delhi would be required.

 

Q2) We do not have a proof of Date of Birth proof of child. Is it mandatory?

A2) A birth certificate is one most important document which every school checks at the time of registration & admission. If you do not have it right now, apply for it as soon as possible. Although for the EWS/DG category, written declaration/undertaking from parents about the date of birth is treated as a valid proof of date of birth of the child.

Q3) Is Aadhar Card Mandatory?

A3) Yes Aadhar card along with the birth certificate is one of the most critical documents during Delhi school admissions.  If you do not have the aadhar card copy, you can attach the aadhar enrollment slip in your school application. Schools accept that. Although you need to produce the original Aadhar at the time of admissions.

 

Q4) Can we attach 2 different address proves for different schools for the same child? We have 2 houses in different zones & have valid documents as well.

A4) No as per the DOE article dated 25 December 2017, it is illegal to use multiple addresses for admission purposes, even if the address proof is valid.

 

Q5) We are living in a rented place. Can we add a rent receipt as an address proof since the electricity bills, water bills & other bills are in the name of the landlord?

A5) Some schools accept the rent receipt but most of the schools do not. To be on the safe side, get your aadhar card’s address modified which could be amended on showing your rent receipt. The Aadhar updating process takes time, so even if you do not have the updated Aadhar card copy, you can add an enrollment slip of the Aadhar application & later produce the updated Aadhar card at the time of admissions.

Q6) Does Every School ask for Child’s Medical Certificate?

 A6) A lot of Schools these days ask for Child’s Medical Certificate along with an Immunization card which clearly verifies that the child is free from any allergies & diseases. The certificate & immunization card must be signed by a registered medical practitioner. Some schools like GD Goenka also want the certificate & card to have a printed enrollment ID of the doctor.

Q7) For what purposes are the affidavits required? And is there any specific format for them?

A7) Affidavits are demanded as a self-declaration proof for some of the documents. Eg: Adopted Child, the distance of school from home are some of the common affidavits. The affidavits must be on non-judicial stamp paper duly signed by a notary. Some schools come up with their own formats & want the parents to get it done in that prescribed format only. The notary is usually aware of such patterns.

Q8) For how long do the parents need to produce the income declaration certificate under EWS category admissions?

A8) The parents belonging to the EWS category shall submit the self-declaration of annual income on an affidavit every year for continuation of the reserved seat in the school once admitted against the reserved seat. However, no student shall be expelled or debarred from the school in case of non-submission of above-mentioned documents without the prior approval of Director (Education), DTE of education, GNCTD

 

Q9) Name of the child is not mentioned on BPL card. Can I apply under EWS category?

A9) Yes

 

Q10) Food security card does not have any date of issue. Can I proceed online? (EWS/DG Category)

A10) Filling the date of issue is mandatory in case of Food Security Card. You can not proceed without filling it.

 

Q11) I have a caste certificate but my child does not have it. Can we apply for DG category?

A11) Yes, you can apply on the basis of your caste certificate (SC/ST/OBC- Non-Creamy, whichever applicable) provided that it has been issued by the Revenue Department (DC/DM office), GNCT of Delhi.

 

Q12) Caste certificate has been issued by some other state. Will it be valid for DG category?

A12) No. The caste certificate has to be issued by the Revenue Department (DC/DM office), GNCT of Delhi.

 

Q13) Validity of income certificate has expired, how to apply? (EWS Category)

A13) The validity of your Income certificate is mentioned on the certificate itself. If it has expired, then you can apply afresh to Revenue Department for an issue of new Income certificate and then use the ”Applied For” option in the Online application and then apply using the receipt/application number of the Income certificate.

 

Q14) Income/caste certificate has not been issued yet. How to apply?

A14) Use the”Applied For” option in the online application and then apply using the receipt/application number of the Income/Caste certificate.

Q15) In income certificate, the income is wrongly specified above 1 lac. & in birth certificate some of the details of the child are wrong. How to correct & apply?

A15)  You must contact the competent authorities for necessary corrections in your documents before filling the online application.

 

Q16) Is income certificate mandatory for DG category?

A16) No

 

Q17) Can the schools demand the original documents duly attested by gazetted officers at the time of registration?

A17) The government has strictly stated that that the schools cannot ask for submission of the original document at the time of registration. Parents need to submit only self-attested copies of the documents/ certificates. But the parents must produce the original documents at the time of admissions if selected. The schools might also cancel the admission of the child if the documents produced at the time of registration are found to be false/ do no match the original documents.

 

Q18) How should a parent prepare themselves before admissions to avoid last minute rush?

A18) Some parents just lose out on all the important admission, dates & timelines due to lack of a centralized information on the internet about all the 1700 private schools of Delhi.

  • Make a visit to the photo studio and get your child’s, father’s, mother’s, family latest passport size photographs printed in bulk! This is one thing you can’t do without! Also, print enough copies of yours and your spouse’s, as most schools demand the parents’ photographs. Also, scan these passport size photographs or ask the photo studio to mail you a soft copy.
  • Aahdar Card for the child. Even if you don’t have it, get a temporary enrolment slip. You must produce the updated aadhar card at the time of admissions

  • All documents should have the same details. Eg: Address, spelling etc. Even if not get them corrected.
  • The Birth Certificate of the child should have the Name of the child. Get it corrected
  • Photocopy sets of documents with your signatures (Attested). Do at least 20 photocopies each.
